InceptionFM Radio Host Guidelines

Introduction

 Welcome to InceptionFM! As a radio host, you represent not just the station, but also the voice and connection we share with our community of listeners. To ensure that your broadcast is engaging, professional, and aligns with the mission of the station, we've put together the following comprehensive guidelines for you to follow. These guidelines are designed to help you create a positive and impactful experience for your audience. 


1. Understand InceptionFM’s Mission and Vision

  • Mission: InceptionFM is dedicated to providing high-quality, diverse programming that reflects the interests, culture, and concerns of our community. We are committed to offering a platform for both established and emerging voices across various genres and topics.
  • Vision: We aim to be the go-to radio station for engaging content, promoting creativity, inclusivity, and knowledge-sharing.

2. Preparation is Key

  • Know Your Show: Be well-prepared for each show. Familiarize yourself with the topics, guests, and music you're going to feature. Research thoroughly to ensure your commentary is insightful and accurate.
  • Punctuality: Arrive at the studio with enough time to settle in, set up equipment, and review your show format. Your audience expects you to be on-air at the scheduled time.
  • Scripts & Notes: Although a casual and conversational tone is encouraged, having an outline or script for your segments helps keep the show structured and on-topic.

3. Content Guidelines

  • Tone: Always maintain a positive, inclusive, and respectful tone in your programming. Your voice should be welcoming, and your commentary should reflect the diversity of the station's audience.
  • Inclusivity: Strive for inclusivity by being sensitive to various cultures, backgrounds, and identities. Avoid making generalizations, and ensure that everyone feels represented and valued.
  • Language: Use appropriate language that aligns with both InceptionFM’s brand and the expectations of the station’s audience. Refrain from using offensive, discriminatory, or harmful language. Profanity should be avoided unless explicitly approved for certain programming that aligns with station policies.
  • Accuracy and Integrity: If you are delivering news, facts, or opinions, double-check the accuracy of your information. Misleading or false information undermines the station’s credibility and trustworthiness.

4. Engagement with Listeners

  • Listener Interaction: Engage with your audience regularly. Respond to social media comments, take phone-ins, or use interactive tools like polls or shout-outs. Interaction helps build a stronger connection with the community.
  • Social Media: Always be mindful of how you represent yourself and the station online. Promote your shows on social media platforms, but avoid controversial or polarizing topics that could negatively impact the station’s reputation.


 5. Respect for Other Shows and Hosts

  • Cross-Promotion: Be sure to support and promote other programs and hosts on InceptionFM. Cross-promotion enhances the sense of community within the station.
  • Respect Time: Stick to your time slot and follow the schedule set by the programming team. Be mindful of the transitions between shows, especially when your show overlaps with others.
  • Work Collaboratively: If your show requires collaboration with other hosts or staff members, do so in a respectful and professional manner. Collaborative work produces the best content.

6. Music and Playlists

  • Song Selection: Follow the station’s music policy. Choose music that aligns with the audience's interests and complements the theme of your show. Ensure a good balance of new and classic tracks, and keep in mind the musical diversity of the station.
  • Licensing and Copyright: Only play tracks that are legally licensed for broadcast. Do not play music without proper clearance or permission. Adhere to the copyright and licensing rules stipulated by the station and relevant authorities.
  • Create Variety: Strive to create a variety in your music playlists. Avoid repetition, and try to explore different genres, artists, and music from around the world.

7. Technical Setup and On-Air Conduct

  • Mic Technique: Speak clearly and directly into the microphone. Avoid slouching or moving away from the mic, as this can impact audio quality.
  • Sound Quality: Ensure your soundboard is correctly set up, and the levels are balanced before going on air. Regularly check the sound quality throughout the show.
  • On-Air Demeanor: Stay calm and composed, even in unexpected situations. If technical issues arise, handle them professionally, and avoid causing panic or distress to your audience.

8. Compliance with Legal and Ethical Standards

  • Licensing and Compliance: Ensure that all content broadcast on InceptionFM is in full compliance with broadcasting regulations, including those around advertising, sponsorship, and content restrictions.
  • FCC Rules: Be familiar with the Federal Communications Commission (FCC) regulations, particularly regarding the use of explicit content, public decency, and other regulatory guidelines.
  • Privacy: Never share confidential or personal information about guests, listeners, or colleagues without consent. Respect privacy both on-air and off-air.

 9. Handling Sensitive Topics

  • Respectful Discussions: When addressing sensitive topics such as politics, religion, or social issues, approach them with tact, empathy, and an open mind. Encourage thoughtful discussion without resorting to inflammatory language.
  • Guest Management: If you feature guests who have strong opinions or controversial views, make sure to moderate the discussion respectfully, ensuring that all sides are heard, and the conversation remains civil.


 10. Professionalism and Conduct

  • Be Yourself: While maintaining professionalism, don’t be afraid to let your personality shine through. Authenticity builds trust and makes you relatable to listeners.
  • Ethical Conduct: Always act in an ethical manner. Avoid conflicts of interest and disclose any relationships or affiliations that may be relevant to the content you present.
  • Feedback and Growth: Be open to feedback from your colleagues and station managers. Continuous improvement is key to becoming a great radio host. Seek ways to improve your delivery, content, and engagement.

11. Health and Well-being

  • Self-Care: Broadcasting can be demanding, both mentally and physically. Take regular breaks, stay hydrated, and ensure you get enough rest. A healthy and well-rested host is more energetic and engaging on air.
  • Mental Health: If you're ever feeling overwhelmed or stressed, communicate with the station’s management to find ways to reduce pressure or adjust your schedule.

12. Emergency Procedures

  • Technical Failures: In the event of technical issues, remain calm and follow the station’s emergency protocols. Communicate with the control room or engineers to resolve problems quickly.
  • Health Emergencies: If you feel unwell during a show, immediately alert the station manager or a colleague so that they can take over your responsibilities, ensuring the broadcast continues smoothly.

13. Studio Technician Guidelines for Radio Hosts

  • As a radio host, it’s essential to understand the critical role of the studio technician and how to effectively collaborate with them to ensure the smooth operation of your show. While the technician is integral to the functioning of the studio, it’s important to remember that their responsibilities do not extend to managing the content of your show, including music selection or speaking roles. Instead, the technician is primarily responsible for ensuring that all technical aspects of the broadcast, such as sound quality, equipment functionality, and overall studio operation, run seamlessly.
  • To maintain a professional and efficient workflow, it’s crucial that you come prepared for your show. This includes having your playlist, content, and cues ready in advance, as the technician is not responsible for these aspects. By understanding the boundaries of the technician’s role and preparing accordingly, you can create a more collaborative, effective, and successful broadcast environment.
  •  Once shows have aired, a copy of the show, as aired live, will be emailed before the end of the day.
