InceptionFM Radio Host Etiquette

  At InceptionFM, maintaining a professional and efficient environment within the studio is key to delivering high-quality programming. To ensure smooth operations and respect for fellow hosts, guests, and technical staff, we’ve developed a set of studio etiquette guidelines. These guidelines are essential for maintaining a productive, clean, and safe workspace.


 

1. General Studio Conduct

  • Professionalism: Always maintain a professional demeanor while in the studio. Your behavior reflects not only on you but also on InceptionFM as a whole. Be mindful of your language, tone, and overall conduct.
  • Respect for Others: Respect your fellow hosts, staff, and guests. Be courteous, punctual, and considerate. Avoid distractions and loud conversations that may interfere with others' work.


2. Studio Access and Timeliness

  • Arrival: Arrive at the studio early enough to set up for your show and address any technical issues. This will also give you time to prepare mentally and review your show materials.
  • Leave on Time: If you are assigned a specific time slot, it’s essential that you leave the studio promptly after your show ends to avoid affecting the schedule of the next show. Always adhere to the time boundaries set for your program.
  • Sign-in/Sign-out: Ensure that you sign in when entering and out when leaving the studio for accountability and security purposes. This helps with tracking usage and ensuring that all equipment is accounted for.
  • Studio Time Management: Be mindful of the clock. Keep track of time during live broadcasts, and wrap up your show according to schedule, especially if you’re transitioning to the next host or program.


3. Preparation and Setup

  • Pre-Show Setup: Set up your equipment, prepare your notes, and review any content before going live. Ensure that the microphone, soundboard, and other equipment are functioning properly.
  • Technical Checks: Test your microphones, sound levels, and any music or pre-recorded content before you start. This avoids technical glitches while you’re on-air. Always check for proper audio quality.
  • Have Materials Ready: If you have scripts, guest segments, or any other materials for your show, ensure they are organized and ready to go before you step into the studio. The more prepared you are, the smoother the show will go.


4. Eating and Drinking in the Studio

  • No Eating or Drinking: To maintain a clean and professional environment, eating and drinking are strictly prohibited in the studio. This includes snacks, meals, and beverages like coffee or sodas.
  • Avoid Food Smells: Even if you are in a separate area, try to avoid bringing strong-smelling foods into the studio, as they can be distracting to other hosts and guests.
  • Water Exception: If you must drink during your broadcast, water in a closed container (e.g., a water bottle with a lid) is allowed, but avoid any containers that could spill or create noise (e.g., cans or open cups). Always clean up any spills immediately.

 5. Studio Cleanliness

  • Leave the Studio Clean: After your show, make sure to leave the studio in the condition you found it. Clean up any papers, trash, or equipment. Do not leave personal belongings behind.
  • Dispose of Trash Properly: Use the designated trash cans for any items that need to be discarded, including paper, wrappers, or empty bottles.
  • Return Equipment: If you’ve used any special equipment (headphones, microphones, etc.), return it to its proper place. Ensure that all equipment is functioning before you leave the studio.
  • Maintain Equipment: Report any technical issues or malfunctioning equipment to the station manager or technical team. Do not attempt to fix technical issues.

6. Noise and Distractions

  • Keep Noise to a Minimum: The studio should remain as quiet as possible during live broadcasts. Refrain from speaking loudly or creating unnecessary noise when not on-air, as it can interfere with broadcasts.
  • Use Headphones: Always use headphones while in the studio to monitor your audio output. This helps ensure that your voice and any other sounds are being transmitted clearly to listeners.
  • Avoid Side Conversations: Side conversations or unnecessary chatter should be avoided in the studio while a show is in progress. If you need to communicate with someone, do so outside of the studio or during breaks.

7. Studio Equipment Use

  • Respect for Equipment: Treat all studio equipment with care. Avoid excessive force when handling microphones, mixing consoles, or other gear. Always turn off any equipment that you no longer need during your session.
  • Equipment Orientation: If you’re unfamiliar with certain equipment or tools, ask for a brief orientation from a technician or colleague. Don’t try to operate unfamiliar equipment without proper guidance.
  • No Unauthorized Use: Do not use studio equipment or space for personal purposes, such as recording or testing material outside of your scheduled time.

8. Studio Environment and Comfort

  • Temperature and Lighting: The studio environment should be comfortable for everyone working in it. If you find the room too hot or cold, notify the station manager so adjustments can be made. Similarly, adjust lighting as needed to avoid glare on screens or uncomfortable conditions.
  • Personal Items: Limit personal items in the studio to avoid clutter. Keep your belongings organized and out of the way of the equipment. Do not leave personal items in the studio after your shift.






 9. Behavior During Live Broadcasts

  • Focus and Engagement: When you're on-air, focus on engaging with your audience and creating an entertaining, informative, and professional atmosphere. This includes maintaining an upbeat and friendly demeanor.
  • No Interruptions: Do not interrupt a live broadcast for personal matters. If there is an urgent need to speak with someone, wait until the commercial breaks or the end of the show. Always prioritize the broadcast during your on-air time.
  • Handling Emergencies: In the case of an emergency (technical failure, personal crisis, etc.), alert the control room immediately. The team can help you resolve the issue while minimizing disruption to the show.


10. Guest and Staff Etiquette

  • Guest Interaction: Treat your guests with respect. Greet them in a professional and friendly manner, and ensure they are comfortable before going live. Provide them with all necessary instructions about the show's format. All guests should wait outside the studio and leave in a timely manner after their interview.
  • Collaborative Work: If you’re working with a co-host or guest, communicate clearly and respectfully. Make sure everyone is aware of their roles and timing within the program.


11. Emergencies and Technical Issues

  • Handling Technical Failures: In case of technical difficulties, remain calm and follow station protocols for troubleshooting. If the issue cannot be immediately resolved, alert the control room for assistance.
  • Immediate Action: If there is a medical or personal emergency, inform the station manager or technical staff as soon as possible so they can take the necessary action to assist.


12. Post-Show Responsibilities

  • Post-Show Debrief: If needed, engage in a brief post-show debrief with the station manager or team to provide feedback and discuss any improvements for future broadcasts.
  • Clean-Up: Ensure that all personal items and trash are removed from the studio after your show. Keep the space clean and ready for the next host or team.
  • Follow-Up: If there are any pending tasks (e.g., emailing show notes, completing show logs, or sending follow-up communication to guests), make sure they are completed promptly after the show.


By adhering to these studio etiquette guidelines, you help maintain a professional, respectful, and organized environment at InceptionFM.
